For organizations with commercial Google Workspace environments, migrating between Google Drives and Shared Drives couldn’t be easier. Even for CMMC Space users, Google’s drag-and-drop migration for Google Drive remains fully functional for organizations choosing to migrate data on their own!
In order to migrate from your commercial Google environment to your CMMC Space Google environment, there are a few simple steps you need to follow:
- Identify the files you need to migrate
- Identify where you need to migrate the files to inside of CMMC Space
- Identify who will migrate the files into CMMC Space
- Drag and drop!
We’ll cover each step in detail in the following pages to help you migrate your information into CMMC Space with minimal interruption.
Identify the Files to Migrate
Before you can migrate your files into CMMC Space, you first need to identify the Shared Drive or Personal Drive you are migrating files from. We recommend creating a Shared Drive in your commercial Google Workspace before migrating to consolidate any information you need to migrate. This will allow you to move any and all information from one tenant to the other in one migration effort. If you are unsure how to create a Share Drive, this is explained in the following step.
Identify Where You’re Migrating
Once you’ve identified what files need to be migrated, you need to identify where you’re migrating those files to within CMMC Space. For the purposes of this guide, ATX Defense recommends using a Shared Drive. This ensures that anyone that needs access to the information can be added to the information as a whole and not file-by-file.
In order to create a Shared Drive, navigate to your Google Drive (https://drive.google.com) and select Shared drives from the menu. If you already have Shared Drives in your Workspace, you’ll see a list of them here. If you don’t have any, right click anywhere in the Shared drive window and select New shared drive…
Now name the Shared Drive appropriately, and now you’re ready to begin moving your files.
Identify Who Is Migrating
Once you’ve identified the What and the Where, you have to identify the Who. This can be one individual or many, as long as they have a CMMC Space User account. Power Users do not have the necessary functionality to migrate files.
Once you have determined the individual responsible for migrating files, add them to your commercial Shared Drive by selecting Manage Members.
In the Manage Members screen, enter the CMMC Space email address of the account (or accounts) that will be responsible for moving files into your CMMC Space Shared Drive. Google will provide the account with the default permission settings of Content Manager. However, in order to move files from your Commercial space into CMMC Space, you will need to provide the migrator with Manager permissions.
Then select Send. The Shared Drive you have added this user to will now appear in their Shared drives list in CMMC Space.
Migrate Files
Now that you’ve completed the identification steps, it’s time to move files from your Commercial Google Drive to CMMC Space. You can simply drag and drop the files you need to move.
Select the file or folder you want to move, using the CMMC Space User account, and drag the selected file or folder over the Drive or Shared Drive you wish to move the file to. You will be prompted to change ownership of the file. Select Move and the file will be migrated into the destination folder.
Once you have completed the migration, be sure to remove the CMMC Space User account from the external Shared Drive.
This completes the migration of your files!
